Your association will have a custom email address where association invoices are sent. You can share this email with your vendors or simply forward the invoices to this email address. We take it from there!
The default payment method is by check. Vendors can opt in to be paid electronically via ACH.
Absolutely! All invoices are visible on the board portal for board review and approval. Board members have full visibility and control over all invoices.
Owners have access to a community portal where they can see their balance, view current and make and online payment. Additionally, owners will receive a periodic statement showing their outstanding charges.
Owners can make one-time and/or recurring online payments via eCheck, major cards, ApplePay and GooglePay. These payments can be made directly from their online community portal or by scanning a QR code on their statement. Owners can also pay by check or online bill pay by directing these payments to the essentialHOA lockbox.
Online payments are the preferred method of payment as the payment is immediately posted to the account. Lockbox payments may take up to 7 days to process onto the account primarily due to USPS and bank processing times.
Yes, your CPA will have access to financial reports
The board and/or select individuals will have access to a mobile app where you can easily capture violations with pictures according to the association's compliance policy. essentialHOA automates the generation of the violation letters and send them via email, first class mail, or certified mail.
Note: Violation processing is supported in the Pro and Premium pricing plans.
The all electronic ARC process ensures ARC requests are handles consistently and in a timely manner. Owners submit architectural plans from their online portal and attach the required documentation based on the type of plan. Once submitted, the architectural committee reviews and sets the resolution of the plan. essentialHOA handles the communication portion of sending the approval/denial letter via email and/or USPS.

The online portal is designed to quickly answer most homeowner questions. If the owner still needs assistance, they can submit a resident request which is then routed to and answered by the board.
We need approximately two weeks to get you all set up. We onboard on the 1st day of the month so as long as you sign up before the 15th of the month you will be onboarded on the 1st of the next month. If you sign up after the 15th, you will be onboarded the 1st of the following month.
